Commercial Cooling Service Starts With a Clear Site Brief

Published · 2 min read

A business may have several cooling problems that look similar from the front desk. One room feels warm, a rooftop system stops, or a cooler's display changes. A clear site brief helps explain what is affected before a technician arrives.

Describe the impact in ordinary language

Identify the room, tenant area, or piece of equipment involved. Record when the problem began, whether it is continuous, and which operating hours are affected. Include visible error messages exactly as shown. Explain any recent maintenance or changes to the space.

For refrigeration equipment, share the make, model, and observed display readings when safely accessible. True's manufacturer control guide distinguishes equipment and control types; one model's instructions should not be assumed to fit another. Do not change hidden control settings while trying to gather information.

Arrange access and authority

Name the person who can meet the technician and approve the agreed scope. Explain keys, loading restrictions, tenant coordination, and roof-access arrangements. Staff should remain off roofs and out of equipment compartments.

Let the service provider know about work areas that require coordination with your own safety procedures. If products or operations are affected, use your business's established response process while arranging service. A website request does not establish that equipment or stored products are safe.

Keep the findings with the asset

After service, file the equipment identification, observed fault, authorized work, and recommendations together. DOE's commercial HVAC guidance includes installation and operating considerations; your building's needs should guide the discussion rather than a generic replacement assumption.
